Overview

Property management generates transactions faster than anyone reconciles them. A weekend produces cleaner payments across four properties, a plumber invoice, three platform payouts with different fee structures, and a refund. None of it is complicated; all of it is fiddly, and it accumulates.

The usual outcome is a monthly catch-up where somebody reconstructs six weeks of activity from a bank feed and their memory. Errors here are not dramatic — a cost attributed to the wrong property, a fee booked as revenue — but they quietly corrupt exactly the numbers you use to judge whether a property is worth managing.

Connecting QuickBooks lets the entry happen at the point of the event. A completed cleaning with a payment attached can become an expense against the right property, and platform payouts can land as income rather than an unexplained deposit. What is left at month end is review rather than reconstruction.

Setup

QuickBooks connects through Intuit OAuth, so ProhostAI never sees your password and you can revoke access from Intuit at any time.

  1. Open ProhostAI and go to Settings → Connections.
  2. Search for QuickBooks and select Connect.
  3. Sign in to Intuit, choose the company file and approve the permissions.
  4. Ask what you spent on a property this year to confirm the connection works.

Good to know

  • QuickBooks stays the system of record. Your accountant’s chart of accounts and reporting are unchanged.
  • Decide how properties map to your accounting structure — classes, locations or customers — before pushing many entries through.
  • Choose the right company file at connection time. Connecting the wrong one is tedious to unpick.
  • Revoking ProhostAI in your Intuit account settings ends access immediately.

Does ProhostAI do my bookkeeping?

It records transactions as they happen — cleaner payments, supplier invoices, platform payouts — into QuickBooks. Your accountant still owns the accounts and the reporting.

How do properties map to QuickBooks?

Usually through classes, locations or customers depending on how your books are structured. Worth deciding before pushing many entries through, because changing it later means rework.

Will this confuse my accountant?

It should do the opposite. Entries arrive categorised and attributed to a property as they happen, so month end becomes review rather than reconstruction.

Does it work with QuickBooks Online and Desktop?

The connection is built for QuickBooks Online, which is what the Intuit OAuth flow covers.

How do I disconnect QuickBooks?
