Spreadsheets survive in property management because they are faster to change than software. The cost is that they are invisible: the numbers only exist for whoever has the tab open, and every update is somebody remembering to type it in.

Connecting Google Sheets closes both gaps without asking you to abandon the sheet. Ask what you paid a particular cleaner last quarter and the AI reads the range and tells you. When an expense or a completed job needs recording, it can append the row itself, in the format the sheet already uses.

That makes the spreadsheet useful to people who never open it. An owner asking about costs, a manager checking a rate before quoting, a coordinator confirming who is on this weekend — all answered from the live sheet rather than from someone’s memory of it.

• Answer from a range Pull the figures out of a sheet and reply with them, rather than sending someone to go and look. "What did we pay the Southside cleaners last quarter?"
• Find the right tab Locate a spreadsheet and the sheet inside it by name, so you do not have to describe where anything lives.

Create & update

• Append a row Add an expense, a completed job or a new contact in the shape the sheet already uses. "Add a €90 plumbing expense for the lake house to the 2026 sheet."
• Update existing cells Correct a rate or mark a line as paid without opening the file.
• Start a new sheet Create a spreadsheet for a new property or season and populate its first rows.

Google Sheets connects through Google OAuth, so ProhostAI never sees your password and you can revoke access from your Google account at any time.

1. Open ProhostAI and go to Settings → Connections.
2. Search for Google Sheets and select Connect.
3. Choose the Google account that owns your spreadsheets and approve the permissions.
4. Ask for a figure from one of your sheets to confirm the connection works.

• ProhostAI reaches only the spreadsheets the connected Google account can already open. Sharing a sheet with that account is what grants access.
• Values are read live, so a number you change in the sheet is the number the AI reports next time — there is no import step to re-run.
• Tell the AI which sheet is authoritative for a given job. Several similarly named tabs is the most common reason an answer looks wrong.
• Writes go into the sheet as ordinary edits, which means Google’s own version history covers them and anything unwanted can be rolled back there.
